Excel Voice Modes for NaturallySpeaking - dummies

Excel has two voice modes in which you work: dictation mode and edit mode, called Quick edition and Full edition, respectively. Unlike the Recognition modes, you do not select the Quick or Full Edition mode manually. You invoke them based on the actions you take inside the spreadsheet.

It’s important to know about them because they make life easier when you want to dictate or edit the cells. On the other hand, if you aren’t aware of them, you can become frustrated when your NaturallySpeaking assistant does something you aren’t expecting because of the mode it is in. Here is what you need to know about each mode:

  • Quick Edition mode: This mode is the dictation mode. If you dictate into a cell, you see a yellow background. This tells you that everything you say will show up in the cell. So, for example, if you say, “Select C5,” and then started dictating, the program writes everything you say into that cell. Then you use commands to format what you say, just as you do in a text-editing application.

  • Full Edition mode: This mode enables you to fully edit a cell by saying, “Edit cell” or “Press F2.” After you do that, the background of the cell becomes blue. Then you can edit the cell in any way you want.

If you see a cell acting funny, check the background color.

  • If the background is yellow, you’re dictating into it.

  • If the background is blue, you are commanding it.

Adjust your words accordingly.
