OneDrive provides an ideal web-based platform to store and share your Excel dashboards and reports. As you publish multiple Excel workbooks to OneDrive, you may find the need to do things such as delete them, rename them, copy them, share them, and move them around.

You can follow these steps to manage the workbooks you publish to OneDrive.

  1. Go to OneDrive and sign in to your account.

  2. Click Files.

  3. Double-click the folder that contains your target workbook.

  4. Place a check in the check box of the target workbook or workbooks (if you want to take action of multiple files) and then right-click the box to open its contextual menu.

  5. Right-click a file you just checked, and then choose the wanted action in menu that appears.

You have the option of apply any one of these actions:

  • Open in Excel Online: This option opens the selected workbook in the browser, limiting you to only those actions you can take in the Excel Web App.

  • Open in Excel: This option opens the selected workbook directly in your Excel desktop application, where you can edit the workbook with the full set of features that comes with standard Excel.

  • Download: This option allows you download a copy of the selected workbook to your PC.

  • Share: This option allows you to share a link to the selected workbook with any recipient you specify via an email address.

  • Rename: This option allows you to rename the selected workbook.

  • Delete: This option deletes the selected workbook. When you delete a file in OneDrive, it is actually sent to a recycle bin folder in OneDrive. That recycle bin that can used to recover deleted files just as you would in your standard operating system. But be aware that once the recycle bin starts taking up more than 10% of your storage limit, OneDrive will start deleting your older content. OneDrive will also permanently delete any files that have been in the recycle bin for more than 30 days.

  • Move To: This option allows you to move the selected workbook to a new directory on OneDrive.

  • Copy To: This option allows you to copy the workbook to a specified location on OneDrive or your PC.

  • Embed: This option will generate HTML code which you can copy and paste into a blog post or website. The result will be an embedded interactive version of the selected workbook in that blog or website.
