How to Add Calendar Entries from Your iPhone

In plenty of real-world situations, you want to enter appointments to your Calendar on the fly, directly from your iPhone (rather than waiting till you get back to the office and your computer). Adding appointments directly to the iPhone is easy.

1Tap the Calendar icon at the top of the screen, and then tap the List, Day, or Month button.

You can use whichever view you want when adding an entry to your Calendar.

2Tap the + button in the upper-right corner of the screen.

The Add Event screen appears.

3Tap the Title/Location field.

Tapping displays the virtual keyboard.

4Finger-type as much (or as little) information as you feel is necessary.

Since this entry is a reminder for yourself, you get to decide what to include.

5Tap Done.

You return to the Add Event screen.

6If your calendar entry has a start time or end time (or both), tap the Starts/Ends field and, in the bottom half of the screen that appears, choose the time the event starts and then the time it ends.

Use your finger to roll separate wheels for the date, hour, and minute (in 5-minute intervals) and to specify AM or PM. It’s a little like manipulating one of those combination bicycle locks or an old-fashioned date stamp used with an inkpad.

7Tap Done when you're finished.

Back to the Add Event screen you go.

8If you're entering a day-long event, tap the All-Day button so that On (rather than Off) is showing, then tap Done.

Because the time isn’t relevant for an all-day entry, the bottom half of the screen now has wheels for just the month, day, and year.

9If you're setting up a recurring entry, such as an anniversary, tap the Repeat window, and then tap to indicate how often the event in question recurs, and then tap Done.

The options are Every Day, Every Week, Every 2 Weeks, Every Month, and Every Year.

10If you want to set a reminder or alert for the entry, tap Alert, tap a time, and then tap Done.

Alerts can be set to arrive on the actual date of an event, 2 days before, 1 day before, 2 hours before, 1 hour before, 30 minutes before, 15 minutes before, or 5 minutes before.

11Tap Calendar to assign the entry to a particular calendar, tap the calendar you have in mind, then tap Done.

You can assign the entry to the Home or Work calendar, for example.

12Tap Availability and indicate whether you're busy, free, tentative, or out of office, then tap Done.

If you’re adding a reminder to yourself, you’ll generally want to indicate that the time is free. If it’s a business meeting or other important event you must attend, choose one of the other three options.

13If you want to enter notes about the appointment or event, tap Notes at the bottom of the Add Event screen, type your note, and then tap Done.

A virtual keyboard pops up so that you can type those notes.

14Tap Done after you finish entering everything.

Calendar entries you create on your iPhone are synchronized with the calendar you specified in the iTunes Info pane.
