Office 2011 for Mac: Open the Word Document Gallery

By Geetesh Bajaj, James Gordon

The default behavior for opening Word 2011 in Office 2011 is that it displays the All Templates option of the Word Document Gallery. You can also display the Templates Gallery by choosing File→New from Template from the menu bar or by pressing Command-Shift-P.

The first three templates in the All Templates category are the three main kinds of editing layouts in Word: Word Document, Word Notebook Layout, and Word Publishing Layout.

  • Templates list: The Templates list contains the following:

    • All: Displays all templates stored on your computer.

    • My Templates: Displays templates you saved in the My Templates folder, specified in Word’s Preferences pane.

You also see other categories of built-in templates such as those for Print Layout, Publishing Layout, and Notebook Layout that are included within Word 2011.

    • Online Templates: Click the disclosure triangle next to Templates to hide the local templates; then click the disclosure triangle next to Online Templates to display the many categories of online accessible templates. This feature is new for Office 2011 and requires a live Internet connection.

  • Recent Documents: Up to one month’s worth of recently opened documents are available. You can show all the recent documents or filter by Today, Yesterday, Past Week, or Past Month. When any Recent Document option is selected, the Search field works on Recent Documents instead of local templates.

You can set the number of recently used files in the Word File menu by choosing Word→Preferences→General→Settings→Track Recently Opened Documents from the menu bar. Type in a number you want in the dialog.

  • Show/Hide Recent Documents: A toggle button.

  • Word Document: Choosing this option opens Word to a new, blank document that’s the most common way many people use Word.

  • Word Notebook Layout: Choosing this option starts a new, blank document in Notebook Layout view.

  • Word Publishing Layout: Choosing this option starts a new, blank document in Publishing Layout view.

  • Don’t Show This When Opening Word: When this check box is selected, the Word Document Gallery won’t display when Word is opened.

  • Size: Drag the slider left and right to change the size of previews in the larger pane, or click the icons at the left and right to choose the smallest and largest size, respectively.

  • Show/Hide Right Pane: Choose to show or hide the template preview.

  • Search field: By default, this field searches template names and keywords of local templates.

  • Preview and Navigation: Displays a preview of the template selected in the larger pane.

  • Cancel: If Word is starting, clicking Cancel takes you to a new, blank Word document. If Word was already running when you opened the Word Template Gallery, Cancel closes the gallery without opening a document.

  • Choose: Chooses the selected template.
