How to Check Grammar in Word 2007

In addition to checking for correct spelling, Word 2007 enables you to proof your documents to catch errors in grammar. You can review Word’s grammar suggestions as you scroll through the document, or you can run a traditional spell check. Word even offers you the chance to examine the marked error and learn more from the Office Help system.

Enable these options to tidy up your Word 2007 documents.

  1. Click the Office button, the Word Options button, and then the Proofing option.

  2. In the When Correcting Spelling and Grammar in Word section, enable these two check boxes:

    • Mark Grammar as You Type

    • Check Grammar with Spelling

    Begin the review.

  3. In a document, right-click any word underlined with a wavy, green mark.

    Look for the green to find the error.

  4. From the pop-up menu, decide whether you want to use Word’s suggestion.

    • Yes. Click the suggested word you want.

    • No. Click somewhere in the document to dismiss the pop-up.

    You can also run a grammar check from Word’s spelling and grammar checker.

  5. On the Review tab, click the Spelling & Grammar button.

    The Spelling and Grammar dialog box opens and takes you to the first item that Word thinks is misspelled or a grammar error.

    Make sure that the Check Grammar check box is selected.

  6. Tell Word how to react to each item it finds misspelled or as a grammar error.

    • Ignore Once: Click this button to tell Word that this entry is fine.

    • Ignore All: Click this button to tell Word that every same spelling of this word is fine.

    • Add to Dictionary: Click this button to have Word add the word to its internal dictionary.

    • Change: First choose (click) a word from the Suggestions panel at the bottom of the dialog box. Then click this button to have Word insert the corrected word.

    • Change All: This works like Change but changes every instance of the misspelling in the document. You must choose a spelling from the Suggestions panel.

    • Explain button: Clicking this button tells opens a Word Help window explaining the grammar rule and offers some suggested fixes.

  7. Click Close to exit the Spelling and Grammar dialog box.
