Exporting Data from MYOB in AccountRight Live Version 2013

Exporting data from MYOB is the time to get into your MYOB system and get your hands dirty extracting everything you need. Note: These instructions are applicable to the modern version of MYOB known as AccountRight Live version 2013. Screen capture from MYOB reproduced with permission. When files are exported from MYOB via the Export or Report function, always opt for the file format to be comma-separated and add the extension CSV (*.csv) to the end of the file name so the file is saved as a CSV file.

Chart of accounts

To export your chart of accounts from MYOB, follow these steps:

  1. From the MYOB dashboard, go to File→Import/Export Assistant and the Import and Export Assistant wizard opens.

  2. At Step 1 Welcome, Select Export Data and click the Next button.

  3. At Step 2 Data Type, in the first drop-down field select Accounts and at the second drop-down field select Account Information.

  4. Customise the data for exporting.

  5. Click the grey Next button.

  6. At Step 3 Format, at the Separate Data Using option select Commas and check the box beside the Include field headers in the file option.

  7. Click the grey Next button.

  8. At Step 4 Select Fields, click the Add All button to select data to be exported.

  9. Click the Export button.

  10. Rename the file and save it.

Contacts

In your MYOB system, if the names used in the Customer and Supplier Contact Cards are slightly different and they have been tagged in a transaction to be imported, change the Customer and Supplier Contact Card names so they are identical in MYOB before any data is extracted. By doing this, transactions will use a consistent business name and duplicate cards can be deleted.

Once you’ve tidied up the MYOB data, to export your customer contacts file from MYOB, follow these steps:

  1. From the MYOB dashboard, go to FileImport/Export Assistant and the Import and Export Assistant wizard opens.

  2. At Step 1 Welcome, select Export Data and click the Next button.

  3. At Step 2 Data Type, in the first drop-down field select Cards and at the second drop-down field select Customer Cards.

  4. Click the grey Next button.

  5. At Step 3 Format, at the Separate Data Using option, select Commas and check the box beside the Include field headers in the file option.

  6. Click the grey Next button.

  7. At Step 4 Select Fields, click the Add All button to select data to be exported.

  8. Click the Export button.

  9. Rename the file and save it.

To export the Supplier, Employee and Personal Card data from MYOB repeat the preceding steps, selecting the respective card option in place of Customer at Step 2 Data Type.

Inventory

To export the inventory details, follow these steps:

  1. From the MYOB dashboard, go to FileImport/Export Assistant and the Import and Export Assistant wizard opens.

  2. At Step 1 Welcome, select Export Data and click the Next button.

  3. At Step 2 Data Type, in the first drop-down field select Items.

  4. Click the grey Next button.

  5. At Step 3 Format at the Separate Data Using option, select Commas and check the box beside the Include field headers in the file option.

  6. Click the grey Next button.

  7. At Step 4 Select Fields, click the Add All button to select data to be exported.

  8. Click the Export button.

  9. Rename the file and save it.

Sales

To export the accounts receivable report details from MYOB, follow these steps:

  1. From the MYOB dashboard, go to Reports→Sales→Sales Register→Sales Register Detail [All Sales].

  2. Customise the data for exporting in the Advanced Filters tab.

  3. Click the Display button to reveal the report.

  4. Click on the Insert/Modify tab and click on the Show Hide button to customise the export fields.

  5. Click on the Filters tab and click the Sort button.

    The Sort window opens with three lines of defined sort criteria. Click the red cross beside the second and third line to delete the lines. At the top Sort By row, select Customer Name then at the second drop-down option select Ascending and click the OK button.

  6. Click the downwards arrow in the top corner and click Export and then CSV Comma-Separated Values format.

  7. Rename the file and save it.

Bills

To export the accounts payable report details from MYOB, follow these steps:

  1. From the MYOB dashboard, go to Reports→Purchases→Purchase Register→Purchases Register Detail [All Purchases].

  2. Customise the data for exporting in the Advanced Filters tab.

  3. Click the Display button to reveal the report.

  4. Click on the Insert/Modify tab and click on the Show Hide button to customise the export fields.

  5. Click on the Filters tab and click the Sort button.

    The Sort window opens with three lines of defined sort criteria. Click the red cross beside the second and third line to delete the lines. At the top Sort By, row select Supplier Name then at the second drop-down option select Ascending and click the OK button.

  6. Click the downwards arrow in the top corner and click Export and then CSV Comma-Separated Values format.

  7. Rename the file and save it.

Bank transactions

If your bank allows you to export historical bank statements in .OFX, .QIF, or .CSV formats, explore that simpler option.

To export the bank transactions report detail, follow these step

  1. From the MYOB dashboard, go to Reports→Banking→Cheques and Deposits→Bank Register and customise the data for exporting.

  2. Click the Display button to reveal the report.

  3. Click on the Filters tab and at the Accounts drop-down option select the bank account required for exporting.

  4. Click on the Insert/Modify tab and click on the Show Hide button to customise the export fields.

  5. Click the downwards arrow in the top corner and click Export and then CSV Comma-Separated Values format.

  6. Rename the file and save it.

Make sure you’ve given the bank transaction data file a distinctive name, because you may export several files. All the bank transaction data exported from MYOB should be located in the same folder — for example, the CONVERSION/ExportedData file directory.

Repeat these steps for all bank cards, credit cards and any other statement-style information you want to import into your new Xero file.

Manual journals

To export the manual journal details (the general journals file in MYOB), follow these steps:

  1. From the MYOB dashboard, go to File→Import/Export Assistant and the Import and Export Assistant wizard opens.

  2. At Step 1 Welcome, Select Export Data and click the Next button.

  3. At Step 2 Data Type, in the first drop-down field select General Journal Entries.

  4. Customise the data for exporting.

  5. Click the grey Next button.

  6. At Step 3 Format, at Separate Data Using option, select Commas and check the box beside the Include field headers in the file option.

  7. Click the grey Next button.

  8. At Step 4 Select Fields click the Add All button to select data to be exported.

  9. Click the Export button.

  10. Rename the file and save it.
